Use Case: Certificate of Employment

Johan needs a certificate of employment. He can request it easily to Laura, via Microsoft Teams. Laura will collect the employee data from the ERP and will create the document fulfilling a predefined template in Scrive. The the document will be sent to the manager for signature. Finally, once signed, Scrive will send the certificate to the employee.

1. Request

The employee requests a certificate of employment to Laura, via chat in Microsoft Teams. No specific keywords are required, as Laura can understand several human languages.

2. Task acknowledgment

Laura interprets the request from the employee, and identifies the task to be done. To do that, Laura uses a NLP algorithm created by the Stanford University (*).

3. Information retrieval

Laura accesses to the HR System to retrieve the information required to compose the certificate.

Laura also obtains the employee’s manager, who will be required to sign the certificate. 

4. Draft certificate preparation

Laura takes from Scrive the corresponding template to prepare the draft. It is possible to have different templates per position type and language: in that case, Laura will chose the correct one according to the information contained in the HR System.

Laura fulfills most of the template with the data registered in the application.

5. Certificate for signature

Laura sends the document to the employee’s manager, for completion and signature.

Scrive will request the manager to complete the missing information (if any) and to sign the document, following the security levels specified in the template..

6. Sending certificate to the employee

Scrive generates the electronic signature and registers it in the document, sending the signed offer to the employee (using the channel specified by Laura)

Scrive keeps also a complete track of the document flow, and grants its integrity. The electronic signature generated by Scrive accomplishes the most requiring legislations.

Use Case: Automated Selection Process

Susana wants to apply for an IT position in Santa Marta AB. As soon as she registers in the job portal, she will receive an invite to complete some on-line tests. Once the tests are completed and valuated, a recruiter will contact Susana to continue the process

1. Application

Susana applies through the job portal, or by any other mean (direct registration by the recruiter, upload of CV…)

2. Communication to Laura

After welcoming and providing initial information to Susana, the Applicant Tracking System (ATS) communicates to Laura that a new candidate is ready for the test.  

3. Create new user in Aon

Laura creates a new user in Aon, registering the basic information necessary to identify the candidate.

As far as the ATS will keep all information related to Susana, not much information is required in AON. Just a name and an id (e.g. the email) will be enough.

4. Link to online tests

Aon will generate a link for the tests that Susana will need to do, according to the project indicated by Laura.

Laura will keep a connection between the offers in the ATS and the projects in Aon, to ensure that the candidates receive the proper tests.

5. Send the link to the candidate

Laura sends the link to Susana. In fact, the candidates will not be aware of the existence of Laura, as they receive all the communications from the job portal, and do the tests in the Aon environment.

Laura can eventually send reminds to Susana if she doesn't complete the test in the following days.

6. Testing

Susana will complete the tests in the Aon web environment. The tests can be done at different moments, and they are processed and evaluated by Aon separately. Aon can also provide a final valuation considering the results of different tests.

7. Results

Aon will send results to Laura every time that a single test is finished. If there is a final valuation prepared by Aon, it will be sent with the result of the last test.

8. Register results

Laura will keep the results of the tests as questionnaires in the ATS, remarking those scores that Santa Marta considers more relevant.

Laura will also keep the status of the process in custom fields in the ATS. That way, the recruiters may know at any time where is Susana in the process. The statuses may be "Invite sent", "remind sent", "test started", "test finished", etc...

9. Process results and evaluation

Whether or not Aon submits some final evaluation, Laura can also do her own calculations to identify the level of the candidate according to any algorithm that Santa Marta may require. In addition to the information coming from Aon, any other data existing in the ATS or other sources, can be used by Laura for that calculation.

10. Register evaluations and change stage

The final results are registered in Recruitee as evaluations, translating them into the ATS scales. 

Laura can also move the stage of the candidate depending on the results of the evaluation, so the recruiter can prepare the next steps more easily.

Use Case: Automatic Offer to Candidate

Once the selection process has finished, the new home-working employee will receive a formal offer in her mailbox, to be signed electronically. Laura will prepare the contract based on the information registered in the Applicant Tracking System.

1. Application

The candidate applies through the job portal, or by any other mean (direct registration by the recruiter, upload of CV…)

2. Task acknowledgment

The selection process continues supported by the Applicant Tracking System (ATS), following the workflow designed for that kind of position. The candidate profile in enriched in every stage..

3. Candidate selected

Once the recruiter decides to make an offer to the candidate, this is reflected in the ATS (normally by moving the candidate to an specific stage).

Laura detects in the ATS that the candidate has been selected, and starts preparing the offer.

4. Draft offer

Laura takes from Scrive the corresponding template to prepare the draft. It is possible to have different templates per position type and language: in that case, Laura will chose the correct one according to the information contained in the ATS.

Laura fulfills most of the template with the data registered in the application.

5. Offer for signature

Laura sends the document to the HR Manager, for completion and signature . If there are different signers depending on the position, Laura will identify the correct one according to a decision tree.

Use Case: Mood Evaluation in Social Networks

Do you want to know how is your TL feeling nowadays? Just ask Laura! Maybe you get surprised

1. Request

The user sends a tweet to Laura, asking for a mood evaluation of her time line. No specific keywords are required in the request, as Laura can understand several human languages.

2. Task acknowledgment

Laura interprets the request from the user, and identifies the task to be done. To do that, Laura uses a NLP algorithm created by the Stanford University (*)

3. Information retrieval

Laura accesses to Twitter to retrieve the latest tweets received by the user, to be analyzed. 

4. Sentiment analysis

Laura executes the sentiment analysis of each tweet collected, and calculates an overall mood.

The sentiment analysis is done with the help of CoreNLP (*)

5. Sending information to the user

Laura sends the result of her valuation to the user. It can be sent by Twitter as well (openly or by private message) or using any other channel.

With your account, write to the Twitter account of Laura:  Laura Bot (@_laura_bot_) and ask her about the mood of your timeline. You can ask your own words and write in your preferred language: most probably, Laura will understand you.

She will answer very soon acknowledging the request, or asking you to write your question in other way.

Step 2: Check the response

Few seconds later, Laura will answer your question, telling you the average mood and providing a link to a dynamic report.

Step 3: Dashboard

The link indicated in Laura's response, drives you to a specific dashboard, where you can see the details of the sentiment analysis done by Laura.

Please take into account that:
The sentiment analysis is not a fully mature technology, and it works quite well in average, but in some individual cases it can throw wrong results. It is not always able to understand sarcasm or slang, and will work better in English than in any other language.
Laura works only with public tweets where you are mentioned, therefore the information managed is public, and both the response in Twitter and the Dashboard will be visible by other users.
